If you’re moving to mePro from another platform, you can send the mePro Team your client profiles and appointments to import for you. You do this from Settings, under Import/Export Data.
Note: All clients, names, emails, appointments and other data shown in the screenshots are sample data we created for this guide. They are not real people or real records.
When to use this
- You’re switching to mePro and want to bring your existing clients with you.
- You want your past or upcoming appointments moved into mePro.
Send an import request
1. In the left sidebar, click Settings, then click Import/Export Data, and start a new import request.
The New Import Data Request page opens, with the path Settings › Import/Export Data › New Import Data Request at the top. The request has two parts, shown along the top: Contact & Software Source and Data, Files & Quantity.
Part 1: Contact & Software Source
2. Under Contact, enter the First name, Last name, Email and Phone number of the person handling the import.
This is whoever in your clinic will be handling the import, ideally the person whose account is doing it. The mePro Team will mainly contact you by email, so check it carefully. For the phone number, give one that can also be reached outside business hours if needed.
3. Under Software source, answer Is your data coming from an existing software system or mePro account?
- Yes: the Which software are you moving from? list appears. Click Select your software and choose it.
- No: choose this if your software isn’t in the list, then tell the mePro Team where your data is coming from in the Message box in Part 2.
4. Click Continue.
Continue becomes available once the contact details and software source are filled in. Click Back to leave the request.
Part 2: Data, Files & Quantity
5. Under Data, upload a file for each type of data.
The mePro Team can import three types of data: client profiles, appointments and session notes.
- Client profiles and Appointments (past and/or upcoming): if you upload one, you must upload both. Click Choose file next to each one and choose the file from your computer.
- Session notes: upload them together with your client profiles and appointments, or after those have been uploaded. Otherwise the system can’t find the matching clients.
Files must be .CSV, .XLSX or .JSON, up to 50MB each, and you attach one file for each data type.
Note: Billing data, such as invoices, payments and account balances, can’t be imported into mePro.
6. Check your files.
Each file shows its name and size, for example mepro_test_clients.csv, 3 KB. To swap a file for another one, click the arrows icon. To remove it, click the red trash icon.
7. Under Quantity, enter how many staff members and how many client profiles you’re importing.
For staff, include all licences, including admin staff, for example 5. For clients, enter the number of client profiles, for example 250.
Note: These numbers are for information only. The system counts what you upload, and once it’s done, it shows you which records can be imported.
8. Optional: add a Message.
Leave a note for the import support specialists in Anything else we should know? If you’re bringing data from more than one software source, list them here. Imports are usually completed within 2 weeks of receiving your files; complex imports may take longer.
9. Click Continue.
The Import request summary opens. Click Back to return to Part 1.
Check and submit
10. Check the Import request summary.
The summary shows everything you’ve entered:
- Contact: your name and email.
- Software source: the platform you’re moving from.
- Data types: what you’re importing, such as Client profiles and Appointments (past and/or upcoming).
- Quantity: how many staff and clients.
- Submitted files: your files, for example mepro_test_clients.csv.
- Message: any note for the mePro Team.
To change a section, click the pencil icon next to it. To download or remove a file, use the icons at the end of its row.
11. Click Submit Import Request.
Click Back instead to go back and make changes.
What you’ll see
A We’ve received your data message confirms your request. Imports are usually completed within 2 weeks of receiving your files, and the mePro Team will contact you if they have any questions.
- Click View Details to see your import request summary again.
- Click Cancel This Import to cancel the request.
After that, you’ll see the status of your request and the data you uploaded, with what can be imported. Review it, and upload again if you think something is missing. The mePro Team carries on with the import from there and gets in touch with you once they’ve reviewed it. You’re done.
